Definition of Personal Information

KaeruTour defines personal information as information about a living individual as defined in the Act on the Protection of Personal Information (name, date of birth, and other information that identifies a specific individual), as well as e-mail addresses, passwords, credit card information, and other information that can be used in connection with a specific individual, and hobbies, family structure, age, and other personal attributes that are integral to personal information.

COOKIES AND IP ADDRESSES

Cookies and IP address information are not considered personal information because they alone cannot be used to identify a specific individual. However, when such information is used in combination with personal information, such information is also considered personal information.

In the media operated by KaeruTour, even if a specific individual cannot be identified, when cookies and 1P address information are used, the purpose and method of use will be disclosed. It is possible to reject cookie information by setting your browser to refuse cookies. If a service cannot be received if cookies are refused, this will also be disclosed.

SPECIFICATION OF THE PURPOSE OF USE OF PERSONAL INFORMATION

KaeruTour specifies the purpose of use of personal information as much as possible when handling personal information.

RESTRICTIONS ON THE USE OF PERSONAL INFORMATION

KaeruTour will not handle personal information beyond the scope necessary to achieve the purpose of use without obtaining the prior consent of the individual. In the event that KaeruTour acquires personal information as a result of a merger or for any other reason, KaeruTour will not handle such information beyond the scope of the purposes of use prior to such succession without obtaining the prior consent of the individual concerned. However, this does not apply in the following cases

1. When required by law
2. When it is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the person in question.
3. Cases in which the provision of personal information is particularly necessary for improving public health or promoting the sound growth of children and in which it is difficult to obtain the consent of the person in question.
4. Cases in which it is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either a national agency or local government to execute affairs prescribed by law, and in which obtaining your consent is likely to impede the execution of such affairs.

PROPER ACQUISITION OF PERSONAL INFORMATION

KaeruTour acquires personal information in an appropriate manner and does not acquire personal information through deception or other wrongful means.

KaeruTour shall take care not to collect personal information from children under 15 years of age without the consent of their parents or legal guardians.

NOTIFICATION OF PURPOSE OF USE OF PERSONAL INFORMATION

When acquiring personal information,KaeruTour will disclose the purpose of use in advance. However, this does not apply in the following cases

1. Cases in which notifying the person of the purpose of use or publicly announcing it may harm the life, body, property, or other rights or interests of the person or a third party
2. Cases in which notifying the person of the purpose of use or publicly announcing it may harm the rights or legitimate interests of KaeruTour
3. Cases in which it is necessary to cooperate with a state organ or local public body in the performance of its duties as prescribed by law, and in which notifying the person in question of the purpose of use or publicly announcing it is likely to impede the performance of those duties
4. Cases in which the purpose of use is recognized to be clear in light of the circumstances of the acquisition.

CHANGES TO THE PURPOSE OF USE OF PERSONAL INFORMATION

If KaeruTour changes the purpose of use of personal information, KaeruTour will not do so beyond the scope that is reasonably considered to be related to the purpose of use before the change, and will notify the person of the changed purpose of use or make a public announcement.

SAFE MANAGEMENT OF PERSONAL INFORMATION AND SUPERVISION OF EMPLOYEES

KaeruTour shall establish rules for the protection of personal information and provide necessary and appropriate supervision of its employees in order to prevent leakage, loss, or damage of personal information and otherwise ensure the safe management of personal information.

SUPERVISION OF CONTRACTORS

When KaeruTour entrusts all or part of the handling of personal information to a third party, KaeruTour shall enter into a confidentiality agreement with the third party or require the third party to agree to the terms and conditions stipulated by KaeruTour, and shall exercise necessary and appropriate supervision to ensure that the third party manages personal information.

RESTRICTIONS ON PROVISION TO THIRD PARTIES

Except in the following cases, KaeruTour will not provide personal information to third parties without the prior consent of the individual.

1. When required by law
2. When disclosure is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the person in question.
3. Cases in which the provision of personal information is particularly necessary for improving public health or promoting the sound growth of children and in which it is difficult to obtain the consent of the person in question.
4. When it is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either of the former two in executing affairs prescribed by law, and obtaining your consent is likely to impede the execution of such affairs.
5. Cases in which the following matters are notified or publicized in advance
   • the purpose of use includes provision to a third party
   • the items of data to be provided to the third party
   • the means or method of provision to the third party
   • the cessation of provision of personal information to third parties at the request of the person in question.
     However, the following cases do not fall under the definition of a third party as set forth above.
     • When KaeruTour outsources all or part of the handling of personal information within the scope necessary to achieve the purpose of use.
     • When personal information is provided as a result of the succession of business due to merger or other reasons
     • Cases in which personal information is used jointly with a specific party, and in which the Company notifies the person in advance of this fact, the items of personal information jointly used, the scope of the party jointly using the personal information, the purpose of use by the party using the personal information, and the name of the party responsible for the management of the personal information, or in which the person is in a position where the person can easily find out such information KaeruTour makes such information readily accessible to the person concerned.

When KaeruTour jointly uses personal information with a specific person, or when the purpose of use or the name or title of the person responsible for the management of personal information is changed,KaeruTour will notify the person in advance of the change or make the change readily accessible to the person.

PUBLICATION OF MATTERS CONCERNING PERSONAL INFORMATION

KaeruTour will make the following matters concerning personal information available to the person concerned, and will respond without delay upon the person’s request.

1. Purposes for which personal information is used (except for items for which there is no obligation to do so under the Act on the Protection of Personal Information). If we decide not to respond, we will notify the individual to that effect without delay.
2. Contact for inquiries regarding personal information

DISCLOSURE OF PERSONAL INFORMATION

When KaeruTour receives a request for disclosure of personal information from the person in question, KaeruTour will disclose the information to the person in question without delay. However, KaeruTour may decide not to disclose all or part of the personal information in the following cases, and will notify the individual to that effect without delay.

1. When there is a risk of harm to the life, body, property, or other rights or interests of the individual concerned or a third party.
2. If there is a risk of significant hindrance to the proper execution of KaeruTour’s business
3. When it would violate other laws and regulations. In principle, KaeruTour will not disclose any information other than personal information, such as access logs.

CORRECTION OF PERSONAL INFORMATION

When a person requests KaeruTour to correct, add, or delete his/her personal information (hereinafter referred to as “correction, etc.”) on the grounds that the information is not true, KaeruTour will, without delay and to the extent necessary to achieve the purpose of use, conduct the necessary investigation and, based on the results of the investigation, make the correction, etc., unless special procedures are provided for under other laws or regulations. We will conduct the necessary investigation, correct the content of the personal information based on the results of the investigation, and notify the person to that effect.

SUSPENSION OF USE OF PERSONAL INFORMATION

If KaeruTour receives a request from the person in question to cease use of or delete his/her personal information (hereinafter referred to as “cease of use, etc.”) on the grounds that it has been handled beyond the scope of the purpose of use publicly announced in advance or that it has been obtained through illegal means or otherwise, KaeruTour will conduct the necessary investigation without delay and notify the person in question of such request. In such cases, we will conduct the necessary investigation without delay and, based on the results of the investigation, suspend the use of the personal information and notify the individual to that effect. However, if it is difficult to suspend the use of personal information due to the large amount of costs involved or other difficulties in doing so, and alternative measures can be taken to protect the rights and interests of the person, these alternative measures will be taken.

EXPLANATION OF REASON

In case KaeruTour, despite a request from the person in question will

1. not notify of the purpose of use
2. not disclose all or part of the personal information
3. not stop the use of personal information
4. not stop providing personal information to third parties, KaeruTour will endeavor to explain the reasons for such decision when notifying the person.
